Job Description

Our client is seeking a highly skilled and proactive Executive Assistant to support two executives based in Chicago. The ideal candidate will thrive in a fast-paced environment and demonstrate exceptional organizational and multitasking abilities. This individual will be responsible for managing complex calendars, and coordinating extensive travel itineraries.

Responsibilities:
  • Provide comprehensive administrative support to two executives, ensuring smooth day-to-day operations.
  • Manage heavy and frequently shifting calendars, scheduling meetings, appointments, and travel arrangements with a sense of urgency.
  • Coordinate travel logistics, including flight bookings, hotel reservations, ground transportation, and managing detailed itineraries.
  • Anticipate the needs of the executives, ensuring all preparations are made in advance.
  • Implement and refine internal processes and workflows to increase efficiency. 
  • Handle confidential information with discretion and professionalism.
  • Prioritize tasks effectively, adjusting to dynamic and shifting priorities.
  • Assist with various projects, reports, and correspondence as needed.
Requirements:
  • Proven experience as an Executive Assistant, or similar role supporting senior-level executives.
  • Exceptional time management and organizational skills, with the ability to handle multiple tasks simultaneously.
  • Experience with heavy calendar management, travel coordination, and managing extensive itineraries.
  • Strong attention to detail and the ability to maintain accuracy in a fast-paced environment.
  • Ability to pivot quickly and effectively when priorities change.
  • Demonstrated success in building or evolving a role and adapting to a leader's unique style. 
  • A proactive and resourceful mindset, able to anticipate needs and solve problems independently.
  • Long-term mindset; looking to grow with the role and organization. 
Salary: $100,000 - $130,000 per year
Schedule: Monday through Friday, remote with travel twice a quarter.
